Provision of State Protocol Services for National Events and International Conferences in Botswana

Overview

The Department of Protocol and Consular Services in the Ministry of International Affairs and Cooperation provides State Protocol services to facilitate smooth arrangements of national events and international conferences hosted in Botswana. The services provided also include training on Protocol and Etiquette to stakeholders, guidance on interaction with Foreign Missions accredited to Botswana, as well as High Level visitors from abroad.

Who is eligible?
  • Government Ministries, departments and parastatals.
  • Others may approach private providers of the training on Protocol and Etiquette who are accredited with Botswana Qualifications Authority.
How do I get this service?

Submit request in the form of Saving-gram through parent Ministry for the required services.

What supporting documents are required?
  • Communication requesting the assistance specifying the nature of the training required, target group and events or High Level guests to be facilitated
  • Completed VIP lounge access forms
How long will this service take?
  • Training will be provided within 2 weeks of receipt of the request.
  •  VIP requests will be processed within 7 days of receipt of the request.

Presentation of Credentials

Overview

The Ambassador / High Commissioner will be notified by the Chief of Protocol of the date and time fixed for an audience with the Head of State, to present credentials. 

Arrangements will also be made for the Ambassador / High Commissioner to meet the Chief of Protocol and the Minister of International Affairs and Cooperation prior to the credential ceremony.

The Department will issue a Note Verbale stating the procedure and requirements for the presentation of credential ceremony.

Ambassador/High Commissioner Departing from Botswana

Overview

An Ambassador / High Commissioner leaving post will be seen off at the airport by a representative of the Chief of Protocol.  In this regard, the Ministry of International Affairs and cooperation should be notified in writing about the impending departure.

Official Calls

Overview

The Ministry of International Affairs and Cooperation (relevant Desk) will assist in making appointments for the customary courtesy calls for the incoming Ambassador/High Commissioner on His Honour, the Vice President and the Honourable Speaker of the National Assembly and other Senior Government Officials.

Call on the Chief of Protocol

Overview

The Ambassador / High Commissioner is advised to call on the Chief of Protocol as soon as possible and present a copy of Letters of Credence and where applicable, a copy of the predecessor's Letters of Recall.  If the credentials are in a language other than English, they should be accompanied by an English translation.

After making this call, the Ambassador can take up official function in relation to the Ministry of International Affairs and Cooperation and call on the Dean of the Diplomatic Corps.  Other functions must be deferred until the Ambassador / High Commissioner has presented his/her credentials to His Excellency, the President.

Overview

Accreditation of new Heads of Diplomatic Missions, Honorary Consul and Heads of International Organisations accredited to the Republic of Botswana

Newly appointed / accredited Heads of Missions, Honorary Consuls and Heads of International Organisations to the Republic of Botswana

How do I get this service?

The process to accredit a new Ambassador / High Commissioner begins with the Mission or Ministry of Foreign Affairs of the sending State submitting to the Ministry of International Affairs and Cooperation (Office of the Chief of Protocol) a Note Verbale accompanied by curriculum vitae (CV) of the proposed candidate, requesting an Agrément.

Note Verbale from the sending State or international Organisation, accompanied by curriculum vitae (CV) of the proposed candidate, requesting an Agrément.
